We do not buy personal-data lists or obtain personal information from unrelated third parties for marketing.

05. How and Why We Use Personal Information

We process personal information only where we have an appropriate lawful basis. Enquiries We use your information to respond to enquiries and requests. Where your enquiry concerns a potential booking or purchase, the lawful basis is normally taking steps at your request before entering into a contract. For other genuine enquiries, we may rely on our legitimate interest in responding to communications concerning Orenna Wellness. Bookings and services We use personal information to arrange and administer bookings, provide the requested service, communicate necessary information and manage changes, cancellations or refunds. The information requested for a booking is necessary for us to administer and provide the service. If required information is not provided, we may be unable to complete the booking. Participation Declaration and contractual records We retain necessary records of Participation Declarations and acceptance of our Terms & Conditions to administer and document the service and associated contractual relationship. We rely on performance of a contract and, where applicable, our legitimate interest in maintaining proportionate records relating to services provided and resolving complaints or disputes. Payments and purchases We use transaction information to administer payments, purchases and refunds. We rely on performance of a contract for transaction administration and on legal obligations where financial records must be retained for accounting or tax purposes. Marketing consent is separate from making a booking, purchasing a product, completing a Participation Declaration or accepting our Terms & Conditions. You may withdraw your consent at any time by using the unsubscribe facility provided in the email or by contacting Orenna Wellness. Website operation and security We may process limited technical information where necessary to operate and protect our website and systems, prevent misuse, maintain security and resolve technical problems. Where personal information is involved, we rely on our legitimate interests in maintaining the security and effective operation of our website and business systems, where those interests are not overridden by your rights.

06. Who We Share Personal Information With

Orenna Wellness does not sell personal information. Where necessary, limited personal information may be processed by or shared with service providers supporting our: website and hosting; booking system; website forms and business email; payment processing; purchases and digital-product delivery, where applicable; and accounting or professional services where reasonably necessary. Information may also be disclosed where required by law or to establish, exercise or defend legal rights. Service providers receive only the information reasonably necessary for the relevant purpose. Some providers act as processors on behalf of Orenna Wellness. Others, such as certain payment providers, may process information independently for their own legal or regulatory purposes.

07. International Transfers

Some service providers may process personal information outside the United Kingdom. Where this results in a restricted international transfer under UK data-protection law, we use an applicable lawful transfer mechanism, such as UK adequacy regulations or appropriate contractual safeguards. Further information about applicable safeguards may be requested from Orenna Wellness.

08. How Long We Keep Personal Information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet applicable legal, accounting, contractual or dispute-related requirements. In general: enquiries and correspondence are kept for as long as reasonably necessary to deal with the enquiry and appropriate follow-up; booking and Participation Declaration records are kept for as long as reasonably necessary to administer and maintain appropriate records of the service and deal with potential complaints or claims; payment and accounting records are kept for the period required by applicable accounting and tax obligations; marketing information is kept while you remain subscribed, with limited suppression information retained where necessary after you unsubscribe so that your preference can continue to be respected; and website and cookie information is retained according to the purpose and configuration of the relevant technology, as further described in our Cookie Policy. When personal information is no longer required, it is deleted securely or anonymised where appropriate.

09. How We Protect Personal Information

Orenna Wellness uses appropriate technical and organisational measures to protect personal information against unauthorised access, use, alteration, disclosure, loss or destruction. These measures are proportionate to the nature of the information and may include access controls, password protection, appropriate encryption, secure systems, software maintenance, data minimisation, secure storage and deletion, and separation of internal records from general website booking information where appropriate. No electronic system can be guaranteed to be completely secure. We therefore keep our security arrangements under review and respond appropriately to identified risks or personal-data breaches.

10. Orenna Journal and Marketing

The Orenna Journal and other marketing communications are optional. Where consent is required, we obtain it through a separate affirmative choice. Agreeing to our Terms & Conditions, making a booking or purchase, or completing a Participation Declaration does not constitute marketing consent. You may unsubscribe at any time using the method provided in the email. Withdrawing marketing consent does not affect your ability to make bookings or purchases and does not prevent us from sending necessary communications about an existing booking, purchase or transaction. We do not sell or provide our subscriber list to third parties for their own marketing.
